Our Responsibility



Vacationcity.com, S.A., (its owners, associates, agents and employees) manifest that they assume no responsibility for any injury, loss or damage to person or property in connection with any service resulting directly or indirectly from acts of God, detention, annoyance, delays and expenses arising from quarantine, strikes, thefts, pilferage, irregularity, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, government restrictions or regulations, discrepancies or change in transportation service, hotel services, air flights, car rentals or tours over which we have no control.

Vacationcity.com, S.A. will not be held responsible for any loss of life, personal injury, cancellations, delays, over-bookings, loss or damage of baggage and/or loss of services as a result of the same caused by any domestic flights, hotel stays, car rentals, transportation service or tours within Costa Rica from third parties involved in the operation. Some trip packages or itineraries will require domestic flights, car rentals, bus or van transportation that will be arranged through Vacationcity.com, S.A by contracting the services from third parties.

In the event that customers decide to book a trip package or itinerary that requires any domestic flight, hotel accomodations, car rentals, transportation service or tours within Costa Rica, Vacationcity.com, S.A. will not assume responsibility for cancellations, delays, over bookings, or any loss of services from any of the parties involved in the operation.

Vacationcity.com, S.A. reserves the right to adjust the U.S. dollar prices without notice, to reflect fluctuations in the Foreign Exchange Markets. Vacationcity.com, S.A. also reserves the right to withdraw a trip or any part of it, to make such alterations in the trip package or itinerary as it deems necessary for the comfort or well-being of the participants and to pass on to the client any expenditure or losses caused by delays or events beyond our control.

With advance purchase or pre-payment to Vacationcity.com, S.A. or any of its agents, the depositor therefore agrees to be bound by the terms and conditions on this page.

Customer Liability (Your Responsibility)



It is the customer's responsibility to make all of their connection and check in times on time. Vacationcity.com assumes NO RESPONSIBILITY for a customer arriving late or being a 'NO SHOW' due to any problem of personal nature or with the services provided by any of our vendors. The customer is also obliged to have the proper travel documents. If you are from any country outside of Costa Rica we strongly recommend for you to check with your immigration department or the closest Costa Rica consulate to your area to see if any other documentation is needed before you book a trip package or have Vacationcity.com build your itinerary.

Hotels Accommodations Responsibility: You are bound to adhere to the hotel’s terms and conditions and will be held accountable for any damage you cause. Vacationcity.com will not be held responsible for early departures nor will Vacationcity.com refund money due to any client due to personal problems with hotel staff or policies inside the facilities of a hotel. Check in and check out times should be taken in consideration since we will not be responsible in case of a failure in either of them due to the customer’s fault.

Tour Responsibility: You will be under the terms and conditions from each one of our tour operators, but in general, you need to maintain the safety and well-being of the whole group during a tour. We will not be held responsible for a cancellation or exclusion in a tour due to rude or dangerous behaviors from customers.

Car Rental Responsibility: Vacationcity.com is acting as third party agent. Vacationcity.com will NOT cover or collect any insurance monies from the client. The basic insurance for your vehicle, and any additional insurance will be the responsibility of the client and will be purchased by the client from the actual car rental company when the car rental contracts are signed between client and the actual car rental company. Damages to the vehicle, third party vehicles or any other damage caused by human mistake from the driver will be settled by the client and the car rental company from where the car rental contracts were signed. Vacationcity.com will not be held responsible for events caused by these situations.

Domestic Flight Responsibility: Due to space on the aircrafts it is mandatory that each passenger carries a maximum of 2 bags per person that DO NOT exceed 25 pounds combined (This is watched closely). We recommend that you leave any excess luggage in your hotel's storage room for when you return or make the proper arrangements if needed. You must be at the Pavas airport at least 45 minutes before the local flight leaves to check in. Vacationcity.com will not be held responsible for delays or missing any flights due to a third party or any customers problem. All expenses from that point on will be covered by the customer or the third party involved.

Bus Shuttle Responsibility: You are bound to show up 30 minutes prior to time for shuttle bus transfers and due to space in the shuttle bus you are required to carry a maximum of 2 bags per customer. We reccomend that you leave any excess luggage in your hotel's storage room for when you come back or make the proper arrangements if needed. Vacationcity.com will not be held responsible for delays or missing any shuttle bus due to a third party or any customers problem. All expenses from that point on will be covered by the customer or the third party involved.

Medical, Health & Insurance: Customers with existing medical conditions should make them known to Vacationcity.com, S.A. at the time of booking any trip package or itinerary before their arrival to Costa Rica, given that clients may be, at some time during their trip, in some of the most remote places in Costa Rica. Under certain circumstances, evacuation could be prolonged, difficult, expensive or virtually impossible. Clients should take special care for any such conditions prior to coming to Costa Rica.

Hospital facilities can be found throughout out Costa Rica and their medical services are excellent however Vacationcity.com, S.A. assumes no liability for any such medical service or any costs related to any evacuation or provision of medical care if needed. Vacationcity.com strongly recommends that all clients purchase short-term traveler's insurance covering baggage, accident/life and or trip cancellations, prior to coming to Costa Rica. This insurance is very affordable in your country of origin.

In such event that Vacationcity.com cancels: Vacationcity.com, S.A. reserves the right to cancel any trip package, itinerary or any part of a clients itinerary due to insufficient sign-ups, over bookings, or anything else resulting directly or indirectly from the situations stated in the section called our Responsibility.In the event of such a cancellation, any client with pre-paid reservations or guaranteed confirmations shall be notified as soon as possible and a full refund of any payments on the un-used portion of transportation service, hotel service, domestic air flight, car rental or tours within Costa Rica will be given. Vacationcity.com, S.A. and participating agents are not responsible for any expenses incurred by the client or for non-refundable air tickets, equipment, medical costs, etc.

Customer Conduct: Vacationcity.com, S.A. and its designated representatives reserve the right to disqualify, remove or ban any person at any time from any transportation service, hotel, domestic air flight, car rental or tour even though they purchased the trip package or itinerary, should such person's actions or general deportment impede the operation of any services being rendered or impede the rights, welfare, safety or enjoyment of others. Refunds are usually not given under these circumstances. In such extraordinary instances when a refund is granted, it is agreed that a refund based on the actual cost of the unused land services is the limit of Vacationcity.com, S.A. responsibility.

Payment Methods: All payments must be made in U.S. Dollars, and made payable to Vacationcity.com . Vacationcity.com S.A. accepts Visa, MasterCard, Discover & American Express credit cards. In any case where the client does not have the proper funds at the moment that any payment is due, Vacationcity.com will contact the client and all items of booking or reservation will be held for 48 hours before being cancelled.

Privacy Statement: Vacationcity.com will not disclose any of your Personal Information to third parties. All information we receive from you will be used only to confirm your vacation package or itinerary and at times to let you know about or services. All credit card information received from our clients is sent by the customer through a secure socket layer credit card form that is encrypted to insure maximum security for our customers. We do not sell your data to third parties.
We also instruct our staff as per our Internal Labor Code to be discrete and do not reveal any personal information to anyone except the person whose name is the reservation under.

Reservation Requirements, Charges and Cancellations



Costa Rica like many other countries have agents working in tourism who take your reservation but when you arrive you will find out that your reservation was never secured. We solved this problem many years ago by prepaying all our reservations and back up all reservation request in our servers. We also have a signed confirmed document from the vendor in our files. For this reason our payment policy is as follows:


Terms Effective October 1, 2010 to present




Low and High Seasons Reservations

Below $200.00 – Full payment is required at the time of booking.
Over $200.00 – A $200.00 booking fee is required at the time of booking and the balance will be charged 31 days prior to arrival.

Peak Season Reservations -
Below $200.00 – Full payment is required at the time of booking.
Over $200.00 – A $200.00 booking fee is required at the time of booking and the balance will be charged 61 days prior to arrival.

VacationCity designed Packages and Multi-Day Circuit Tours - $200 deposit will be charged at booking time and the balance will be charged 61 days prior to arrival.

*Note – VacationCity reserves the right to make exceptions to these policies when suppliers have different payment requirements. Weddings, events and group travel have different payment and cancellation policies depending on the amount of people and the payment policies of each supplier for the particular group.

* In the Case of any Customer Cancellation
VacationCity does not want to make money on any unfortunate cancellation but please understand that we do need to cover the cost of our Travel Advisors working with you, our confirmation department who confirms your trip and our accounting department which handles all of the monetary transactions for your trip.
